These terms set out the main expectations for enrolment, billing, attendance, portal use and related services provided by EL12 Education.

At EL12 Education, we value strong, long-term relationships with our parents and students. We are a boutique learning centre and aim to provide a supportive, structured, and high-quality learning experience through small group classes and close communication with families.
These Terms and Conditions are intended to set clear expectations so that classes can run smoothly and fairly for everyone.
By enrolling a student with EL12 Education, you agree to these Terms and Conditions.
EL12 Education provides small-group educational services, which may include English writing classes, technology classes, workshops, holiday programmes, and related learning support.
Details such as class type, timetable, fees, billing arrangements and student placement will be confirmed during the enrolment process or through the parent portal.
All enrolments are subject to acceptance, class suitability and availability.
When a student is enrolled, a place is reserved for them in a specific class or timetable slot. As class sizes are intentionally kept small, each reserved place is limited and valuable.
EL12 Education generally aims to keep classes small, often with 2 to 3 students, even where a class may temporarily include up to 4 students while class allocations are being finalised or adjusted.
Class groupings are determined by EL12 Education based on factors such as age, year level, experience, learning needs, subject focus, class balance and availability.
We may adjust class allocations, teachers, formats or timetables where reasonably necessary to support student learning, manage operations or improve group suitability. Where possible, we will communicate significant changes in advance.
We value open communication and encourage parents to raise any concerns, changes or questions as early as possible.
Because we work closely with families over time, we ask parents to communicate respectfully and promptly in relation to attendance, changes in circumstances, student needs and any issues affecting participation.
Where a concern arises, EL12 Education will always aim to work with families in good faith and in a practical, reasonable manner.
We appreciate that every family's circumstances are different, and we encourage early communication so that issues can be managed constructively wherever possible.
Fees are charged according to the selected billing arrangement advised at enrolment or through the portal. This may include monthly billing, term-based billing or another arrangement approved by EL12 Education.
Fees are charged for the student's reserved place in the class, not only for attendance at individual sessions.
Invoices must be paid by the due date shown. Continued enrolment may be affected if fees remain unpaid.
EL12 Education may update fees from time to time. Reasonable notice will be provided before any fee changes take effect for future billing periods.
By enrolling, families are committing to the student's allocated class place for the selected billing period.
As EL12 Education operates with intentionally small class sizes, each reserved place affects teacher planning, class balance, availability for other families and the overall structure of the programme.
Students are expected to attend their allocated class consistently each term. Enrolment reserves a place in a specific class, and families should not treat class bookings as flexible or interchangeable from week to week.
If a student is unable to attend a scheduled class, notice should be provided as early as possible.
Make-up lessons are only available for absences where reasonable notice has been given during the relevant term. Where eligible, EL12 Education will use its best efforts to offer a suitable make-up class within the same term, subject to availability, class suitability and operational capacity.
If a suitable make-up class cannot be arranged during the term, a make-up spot may be offered during the term break where reasonably possible.
Make-up lessons are intended for unexpected absences only, such as illness or other unforeseen circumstances. They are not generally available for optional schedule changes or convenience-based absences, including social events, birthday parties and holiday plans.
Make-up lessons are not guaranteed and must be used within the relevant term or term break when offered. Missed classes, cancellations or unused make-up opportunities do not carry over beyond the relevant term or term break. Credits, refunds or rollovers are generally not provided for missed sessions.
If you wish to cancel or withdraw a student from EL12 Education, notice must be provided in writing.
Unless otherwise agreed in writing, cancellations and withdrawals take effect from the end of the current billing period.
Fees already paid for the current billing period are generally not refundable, as the student's place has been reserved and class planning, staffing and allocations are made in advance.
We understand that circumstances can change, and where exceptional situations arise, we encourage families to contact us as early as possible so we can discuss the matter.
If EL12 Education needs to cancel, reschedule, combine, relocate or otherwise change a class due to illness, operational needs, low numbers, teacher availability, safety reasons or other reasonable circumstances, we will aim to notify families as soon as possible.
Where appropriate, EL12 Education may offer an alternative class, make-up arrangement, substitute session, credit or another reasonable solution.
Students are expected to behave respectfully toward teachers, staff, equipment and other students.
EL12 Education may give directions, set classroom expectations and implement reasonable rules to maintain a safe and productive learning environment.
If a student's behaviour seriously affects safety, wellbeing or the learning experience of others, EL12 Education may pause participation in an activity, contact the parent, or in more serious cases suspend or end enrolment after appropriate communication.
Parents should inform EL12 Education of any relevant medical, behavioural, learning, sensory or support needs that may affect a student's participation, safety or classroom experience.
This helps us plan appropriately, support the student and maintain a safe environment for all participants.
For technology, robotics, electronics, coding or similar classes, students must follow all teacher instructions and safety directions when handling devices, tools, components or equipment.
EL12 Education will take reasonable care in supervising class activities, but parents acknowledge that practical learning may involve standard hands-on risks associated with educational equipment and materials.
Parents may be responsible for deliberate or reckless damage caused by a student to equipment, materials or facilities.
EL12 Education may provide access to an online portal for enrolment, scheduling, billing, attendance, progress tracking, targets, feedback, communications and related services.
Parents are responsible for ensuring that account details, contact details and enrolment information remain accurate and up to date.
Parents are also responsible for maintaining the security of their login details and for any activity that occurs through their account, unless caused by EL12 Education.
From time to time, the portal or related systems may be unavailable due to maintenance, updates, outages or technical issues. EL12 Education will use reasonable efforts to keep systems operating smoothly but does not guarantee uninterrupted access.
Students and their families retain ownership of original work created by the student and uploaded to the EL12 portal.
By uploading or submitting content to the portal, you grant EL12 Education a non-exclusive licence to store, access, review, copy, annotate, process and use that content for educational delivery, feedback, assessment, student support, record-keeping, service administration and related internal purposes.
This may include the use of trusted technology platforms and AI-assisted tools used by EL12 Education to support feedback, analysis, administration and service delivery.
EL12 Education's lesson materials, feedback templates, portal content, resources, systems and internal teaching materials remain the property of EL12 Education unless otherwise stated.
Portal access is provided for active students and families while they are engaged with EL12 Education.
If a student's enrolment ends or a family is no longer actively engaged with EL12 Education, parent and student access to the portal will be removed or deactivated.
Families should download any student work, feedback, reports or other materials they wish to keep before access ends.
EL12 Education may retain records, submissions, communications and account information for as long as reasonably necessary for educational, administrative, billing, legal, compliance, safeguarding, dispute resolution, backup and related operational purposes, after which they may be deleted or de-identified in accordance with our Privacy Policy.
EL12 Education handles personal information in accordance with its Privacy Policy.
Personal information may be collected and used for purposes reasonably related to enrolment, class management, scheduling, billing, communication, student support, progress tracking, educational delivery and related services.
Any class materials, lesson content, worksheets, portal resources, feedback, comments or learning plans provided by EL12 Education are for the educational use of enrolled students and their families.
These materials must not be copied, redistributed, sold, published or shared outside the family's own personal use without prior written consent.
EL12 Education will not use student photos, videos, recordings or samples of student work for public or promotional purposes without appropriate consent from a parent or guardian.
Internal use for teaching, student progress, moderation or feedback purposes may occur as part of normal educational delivery where appropriate.
EL12 Education will provide its services with reasonable care and skill and will act in good faith in supporting students and families.
To the extent permitted by law, EL12 Education is not liable for indirect or consequential loss, including loss arising from timetable changes, missed activities, portal outages or circumstances outside our reasonable control.
Nothing in these Terms and Conditions is intended to exclude any rights or remedies that cannot lawfully be excluded, including rights under the Australian Consumer Law.
EL12 Education may update these Terms and Conditions from time to time to reflect changes to services, systems, policies or business operations.
The latest version will be made available on our website or portal. Where changes are material, EL12 Education will aim to provide reasonable notice before they take effect.
